Job Description

Org. Setting and Reporting

ECA's mission is to deliver ideas and actions for an empowered and transformed Africa; informed by the 2030 SDGs and Agenda 2063. The mission is guided by ECA's five new strategic directions which are: advancing ECA's position as a premier knowledge institution that builds on its unique position and privilege to bring global solutions to the continent's problems and take local solutions to the continent; developing macroeconomic and structural policy options to accelerate economic diversification and job creation; designing and implementing innovative financing models for infrastructure, and for human, physical and social assets for a transforming Africa; contributing solutions to regional and transboundary challenges, with a focus on peace security and social inclusion as an important development nexus; advocating Africa's position at the global level and developing regional responses as a contribution to global governance issues. The Publications, Conference and Knowledge Management Division is headed by a Director and reports to the Deputy Executive Secretary (Programme Support). It is divided into three main sections: Publications and Conference Management; Information and Communications Technology Services; and Knowledge Management Services. This position is in the Publications, Conference and Knowledge Management Division (PCKMD), Publications and Conference Management Section (PCMS), Editorial and Desktop Publishing Unit (EDPU). The Editorial and Desktop Publishing Assistant (English/French) will work under the general supervision of the Chief of the PCMS and the direct supervision of the Editorial and Desktop Publishing Unit supervisor.

Responsibilities

Within delegated authority, the Editorial and Desktop Publishing Assistant will be responsible for the following duties: • Formatting, processing, and finalizing English and French documents, publications, and reports by inserting corrections made by editors, revisers, translators, and proof-readers. • Helps to ensure effective transition to new workflows while maintaining the delivery of existing Unit products by sharing information and supporting full participation in workflow reviews. • Participates in the production of parliamentary and miscellaneous documentation, supplements, and publications, by proofreading and preparing desktop publishing layout of the final product in English and French language for reproduction in hard copy and electronic dissemination. • Assists in distributing assignments to ensure efficient and effective processing of documentation and an equitable distribution of work, as needed. Updates electronic tracking system accordingly. • Assures smooth continuity of work from one work shift to another; prioritizes work to be continued and gives special instructions as needed. • Works daily with supervisor to ensure that all ECA documents are aligned properly and that all mistakes are corrected in the gDocs. Registers incoming/outgoing documents in order to control flow of work in and out of unit. • Registers, processes and records assignments in g-Doc on a daily basis. • Maintains daily statistics. Performs administrative work, as needed. • Identifies and retrieves documents from ODS and researches and verifies terminology on the Intranet. • Facilitates access to parliamentary and miscellaneous documentation from the United Nations Official Documents System (ODS). • Performs daily maintenance of the unit network drives. • Trains and guides junior support staff. • Helps translation services by aligning English and French texts with corresponding language to produce quality translation memories. • Assists in training staff to align bi-texts in order to support the production of high-quality translation memories for computer-assisted translation (CAT), machine translation (MT) and related workflow improvements. • Assists in training staff to perform other modified text-processing functions developed under gText or related workflow reviews. • Assists in overseeing the creation, updating and maintenance of macros, templates and models. • Rotates on daytime, after-hours and weekend work shifts, as needed. • Stays available for overtime and on-call assignments, depending on the needs of service. • Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making. • Assists with visualizations and updating information material such as web pages or brochures • Performs other related work as required, including echelon service. • Performs functions of Supervisor in his/her absence.

Knowledge of all aspects of the work of the Unit, including typographic standards, with special emphasis on technological applications leading to processing efficiencies. Proficiency in United Nations terminology and editorial practices in the language of the unit. Work Experience

A minimum of seven years of progressively responsible experience in formatting, processing and finalizing English and French documents, publications and reports by inserting corrections made by translators, revisers and proof-readers is required. The minimum years of relevant experience is reduced to five for candidates who possess a first-level university degree or higher. Experience with documentation processes of the United Nations or a similar international organization is desirable. Please explain how you meet this criterion using examples. One year or more of experience in data analytics or related area is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. Fluency in oral and written English and French is required; knowledge of another official United Nations language is an advantage.
